Receiving Purchase Orders on Netsuite
To ‘Receive’ a PO on Netsuite you need to go into the purchase order that you want to receive. The easiest way of doing this is by searching for the PO number in the NetSuite search bar.
Note: You should have be provided with a POD on delivery (This will need to be passed onto the accounts department, without this the invoice will be put on hold and not paid). If it’s for a service, you’ll need the confirm with the relevant person(s) that the service has been provided. The accounts department will ensure the invoice is signed off by the approver before payment is made.

Note: You will see on the order it has been received or partly received by looking at the description next to the PO. You will also know by the buttons at the top as if there is a ‘Receive’ button available then there are goods/services still to be received on Netsuite but if this button says ‘Authorise Return’ then it has already been received in full.
Click on the ‘Receive’ button to continue booking in the goods or the service. This will open the below page.
You need to fill in the date that the goods were received and make sure the posting period is no earlier than the period we are in. Fill in the PO number in the memo box for reference (this is for accounting purposes

- Select the items you want to receive - Netsuite automatically selects all goods/services on the order, but you can untick this if not everything has been received. You can also change the quantity here to match the amount received.

Note: If for some reason this page has no visible items to book in, then just ensure you check the expenses tab, and they will show there.
Make sure you select the blue arrow button on each item and select your (Bin) warehouse and then type in the value again and ‘add’ and ‘save’ – this then makes it visible in the warehouse to transfer to your vans and it will affect your stock take if this isn’t done
Note: If you’re receiving in an expense there will be no blue arrow. This is because we’re not effecting the stock file.

Click OK. This will take you back to the original screen where those original blue arrows will now show as green ticks.
